Our Deposit Refund & Cancellation Policy
We understand that plans sometimes change. Our goal is to make our deposit and refund policy as clear and simple as possible.
First Deposit: Your first deposit is fully refundable for 30 days following the first-deposit due date for your specific trip. After the 30th day, your first deposit becomes non-refundable. Deposit due dates are listed on our website under “Trips by Date.”
Second Deposit: Your second deposit is non-refundable if you choose to cancel your trip.
Refund Requests: All eligible refund requests must be submitted in writing by email to spiritofadventuretravelco@yahoo.com.
If Spirit of Adventure Cancels: In the unlikely event that Spirit of Adventure Travel Co. cancels a trip, we will refund all funds paid directly to Spirit of Adventure Travel Co. less any amounts that have already been paid or committed on your behalf to hotels, airlines, rail providers, tour operators, attractions, or other third-party travel suppliers and that cannot reasonably be recovered or refunded.
Any funds that Spirit of Adventure Travel Co. has not already committed to nonrefundable trip expenses will be returned to the traveler.
Spirit of Adventure Travel Co. will not retain funds as profit from a trip that we cancel. Any amount not refunded will represent actual, nonrecoverable expenses already incurred or committed for that trip.
Funds paid directly by the traveler to airlines, hotels, insurance companies, or other third-party providers are subject to the terms and refund policies of those companies.
By making a deposit, you acknowledge and accept these deposit, cancellation, and refund terms.
Anchor Flight & Airline Cancellation Policies
Whenever possible, we want our travelers arriving and departing together. For each trip, Spirit of Adventure Travel Co. will designate an “Anchor Flight.” This flight establishes our planned airport arrival and departure times.
If Spirit of Adventure arranges your airfare, we will coordinate your flights with the group’s travel schedule.
If you purchase your own airfare, please coordinate your arrival and departure times with our Anchor Flight. If your flight falls outside the Anchor Flight timeframe, you will be responsible for arranging and paying for your own transportation between the airport and hotel.
Our goal is simple: to get everyone where they need to be, at the right time, and begin our journey together.
Please remember that airline tickets are subject to the individual airline’s cancellation, change, and refund policies.
Passport Policy
Your passport is your most important travel document. Please physically check your passport well before your trip to make sure it is valid and ready for international travel.
Your passport must be valid for at least six months beyond your travel dates. Each traveler is responsible for making sure their passport and any other required travel documents are valid, accurate, and up to date.
When traveling, never pack your passport in your checked luggage. Keep it securely with you at all times, along with easy access to your airline itinerary and boarding passes.
We also recommend keeping a secure digital or paper copy of your passport information page separate from your actual passport.
Passport and travel-document requirements are the responsibility of each traveler. Spirit of Adventure Travel Co. cannot be held responsible for denied boarding, denied entry, delays, additional expenses, or missed portions of a trip resulting from an invalid, expired, damaged, missing, or otherwise unacceptable passport or travel document.
Most importantly, don’t wait until the last minute. Take your passport out, physically look at the expiration date, and make sure everything is in order well before departure.
Travel & Medical Insurance
We strongly recommend that every traveler purchase travel insurance to help protect the investment you have made in your journey.
Travel insurance may provide coverage for trip cancellation or interruption, lost or delayed luggage, medical emergencies, and other unexpected circumstances. We also encourage travelers to confirm that they have adequate medical coverage while traveling outside the United States.

Insurance coverage varies considerably by policy and destination. Please carefully review your policy, including exclusions involving war, military action, pre-existing conditions, and cancellation. If you are interested in Cancel For Any Reason (CFAR) coverage, ask your insurance provider whether it is available for your particular trip.
The purchase and selection of travel insurance is the responsibility of each traveler. Spirit of Adventure Travel Co. does not determine insurance coverage and cannot guarantee that any particular loss, cancellation, medical expense, or other circumstance will be covered by an insurance provider.
Special ETA-IL Requirements for Israel Travel
US citizens traveling to Israel for tourism or business for up to 90 days, must have an approved Electronic Travel Authorization (ETA-IL) or a valid visa before travel, starting January 1, 2025. The ETA-IL is a pre-travel authorization that streamlines entry.
- ETA-IL or Visa:Beginning January 1, 2025, US citizens need either an approved ETA-IL or a valid visa to enter Israel for tourism or business for stays up to 90 days.
- ETA-IL Application:The ETA-IL application is completed online and requires a fee of 25 NIS (approximately $7 USD), according to the Israeli government.
What you need to know about the Israel ETA
- The Israel Electronic Travel Authorization (ETA), officially known as the ETA-IL, is a digital authorization that is now required for visa-exempt travelers planning to visit Israel.
- Unlike a traditional visa, the Israel ETA does not involve an embassy visit or a physical stamp in your passport.
- This ETA system is part of a larger trend where countries screen travelers before they arrive, thus increasing security at borders.
- Designed specifically for short-term visits, the Israel ETA allows visa-exempt travelers to enter Israel for tourism, business, and other non-work-related activities.
- Applicants should apply for the ETA at least 72 hours before their intended travel date to Israel.
- Once approved, the ETA allows for multiple entries into Israel and remains valid for up to two years or until your passport expires, whichever comes first. Each visit can last up to 90 days.
Limitation of Liability, Dispute Resolution & Acceptance of Terms
Spirit of Adventure Travel Co. is a 501(c)(3) nonprofit organization operating from El Paso County, Colorado.
To the fullest extent permitted by law, Spirit of Adventure Travel Co., its officers, directors, employees, representatives, and tour leaders will not be liable for incidental, indirect, special, or consequential damages arising from or related to your trip.
To the fullest extent permitted by law, the total liability of Spirit of Adventure Travel Co. will not exceed the amount actually paid by you directly to Spirit of Adventure Travel Co. for your trip.
We believe disagreements should first be handled reasonably and in good faith. Before either party begins a lawsuit or other formal legal proceeding arising from a trip, reservation, payment, or these Terms and Conditions, both parties agree to first attempt to resolve the dispute through good-faith mediation.
Unless otherwise agreed in writing, mediation will take place in El Paso County, Colorado. Each party will be responsible for its own attorney fees and expenses, and the cost of the mediator will be shared equally.
These Terms and Conditions will be governed by and interpreted under the laws of the State of Colorado, without regard to its conflict-of-law principles.
To the fullest extent permitted by law, any legal proceeding that remains necessary after mediation will be brought in an appropriate court located in El Paso County, Colorado.
Registration for a Spirit of Adventure Travel Co. trip represents your request to participate in that trip. As part of the online registration process, each traveler is required to affirmatively acknowledge that they have read, understood, and agreed to these Terms and Conditions.
Your reservation is secured upon receipt of your First Deposit.
By submitting your registration and making your First Deposit, you acknowledge that you have registered for the trip, reserved your place, and accepted these Terms and Conditions.
Payment of your Second Deposit represents an additional acknowledgment and confirmation of your continued participation in the trip and your acceptance of these Terms and Conditions.
Accordingly, your online registration, First Deposit, and Second Deposit each serve as evidence of your acknowledgment and acceptance of the Terms and Conditions governing your reservation.
Your electronic acknowledgment and subsequent payments constitute your acceptance of these Terms and Conditions to the fullest extent permitted by applicable law.
Nothing in these Terms and Conditions is intended to waive or limit any right or liability that cannot legally be waived or limited under applicable law.
